JOB TITLE: Philanthropy Operations Manager

DEPARTMENT: Administration

REPORTS TO: Director of Philanthropy – Institutional Giving and Donor Relations

LOCATION: This is an onsite job placement at Harriett’s Orlando Ballet Centre, 600 N. Lake Formosa Drive, Orlando, FL 32803

POSITION STATUS: Full-Time, salaried, exempt

BENEFITS: All standard in coordination with employee handbook policies

Basic Purpose and Objective of the Role:

In collaboration with the Directors of Philanthropy and Executive Director, the Philanthropy Operations Manager will serve as administrative lead on the United Arts Collaborative Campaign, oversee Orlando Ballet’s volunteer program. maintain the annual Philanthropy department and communications calendars, and lead gift officer portfolio tracking and maintenance in accordance with moves management best practices and the successful growth of Orlando Ballet’s contributed revenue.

Orlando Ballet is seeking a driven, self-motivated, solution-oriented, and highly organized individual with proven project management success in the arts nonprofit sector, with a knack for mastering CRM programs, exceptional interpersonal skills, strong attention to detail, and a commitment to supporting Orlando Ballet in its mission to entertain, educate, and enrich through the highest quality of dance.

Responsibilities include, but are not limited to:

  • Maintain the annual calendar of Philanthropy team events, activities, and departmental communications, coordinating with Marketing to ensure the proper alignment of company-wide external communications.
  • Gain proficiency in Orlando Ballet’s CRM software, Tessitura, providing administrative support to all gift officer portfolios through annual tracking and quarterly portfolio reviews to support defined fundraising targets.
  • Administrative lead on the United Arts Campaign – coordinating with their organization to provide tracking and reporting to Directors of Philanthropy, Executive Director, and Board of Directors.
  • In close partnership with the Executive Director and Directors of Philanthropy, manage the continued refinement of Philanthropy team standard operating procedures to support defined fundraising targets.
  • Serve on and participate in Orlando Ballet Board Committees as requested
  • Support all aspects of the Philanthropy team as needed, including attendance at Season performances, the Ballet Ball, the Nutcracker Boutique, and all fundraising and cultivation events
  • Other duties as assigned

Required Qualifications:

  • Bachelor’s degree in nonprofit management, project management or philanthropic studies
  • Minimum of 3 years of related work experience in a nonprofit arts environment
  • Demonstrated project management success
  • Demonstrated mastery of CRM software
  • A passion for dance and the performing arts
  • Proven track record of ability to work independently with great attention to detail and flexibility, in a fast-paced atmosphere under established time constraints
  • Familiarity with Windows and Mac operating systems and proficiency in Microsoft Office Suite, including mastery of Excel

Preferred Qualifications:

  • Advanced degree
  • Proficiency with Tessitura and WordFly
